School Space Cancellation Policy
The following applies when a customer has booked an event and would like to cancel it.
All amounts retained reflect the costs incurred by School Space in booking, organising and preparing venues.
If you have to cancel your event please do so via the booking platform https://book.school-space.org/bookings.
If you are cancelling a booking with less than 7 days notice please notify us via email at info@school-space.org.
If you are cancelling with less than 48 hours notice please call on 020 3369 3269 (Weekdays 9am-5pm) or 0800 311 8322 and leave a message stating your organisation name, the school your booking was at, the date and time.
Regular Bookings
We require 28 days’ notice for any booking cancellations. Bookings cancelled after this point will still be charged at the original price.
The original price paid will remain the same, even if:
- You move to an alternative cheaper space
- You reduce the timings of your booking
- You need to cancel your booking

If your entire regular booking is cancelled before the 1st session of your booking takes place, your deposit will be retained.
To summarise:
- Cancellations made 28 days or more in advance = No charge.
- Cancellations made with less than 28 days’ notice = Subject to full charges.
One-Off Bookings
If you cancel your one-off booking, the following charges apply:
- More than 14 working days before your event = Deposit retained
- Up to & including 14 working days before your event = Full booking cost retained
If you choose to end your event early or leave the facility before your agreed booking period ends, unfortunately, this will not result in a refund.
Rearranged bookings
At the sole discretion of School Space; if a cancellation has resulted in your deposit being retained, the deposit can be carried over to future bookings with School Space.
Cancellation by the School or School Space
The following applies when a customer has booked an event and School Space needs to cancel it.
Although we work as hard as possible to avoid cancellations, it is in the nature of regular bookings that school events, particularly exams, sometimes means this is unavoidable. We endeavour to provide as much warning as possible about these cancellations (particularly annual exam ‘seasons’) both at the time of arranging and throughout the year. However, when cancellations occur, we recognise this is an inconvenience and do our best to address it or provide an alternative solution.
We aim to provide at least two week’s notice. If there are late cancellations we will never charge you for spaces you didn’t use, and apologise wholeheartedly for the inconvenience. We will never make a cancellation without exhausting all options to enable the booking to go ahead, and it is never something we do lightly.
